Administrative Assistant - Global Mobility (We Internal Position)

About Us: We are a growing, award winning recruitment agency specialising in placing staff across the Marine, Energy and Construction industries around the world. We have contractors travelling around the world day in, day out. Over a period of 7 years our friendly and close-knit company has grown into a multi-million pound business, with a turnover of £31.5m in 2014 and a listing in the Sunday Times Best Companies to work for in both 2014 and 2015.

Due to an increase in business, we will be improving our mobilisation function. We are looking to identify a part time administrative assistant to join our expanding Global Mobility team. Your role will be to support the Head of Global Mobility in all aspects pertaining to Contractor mobility.

The successful candidate will be required to:

  • Support the Head of Global Mobility directly in regards to travel, visas and other arrangements.
  • Track and monitor contractors' visa applications
  • Draft immigration letters and manage the immigration process
  • Partner with Internal departments and Clients to ensure smooth Contractor deployment and repatriation
  • Provide Visa consulting services, maintain client records and prepare cost estimates
  • Act as an internal escalation point for all assignment and mobility issues
  • Maintain relationships between existing and new Clients, Contractors, Travel Suppliers and any other parties in the logistics chain
  • Ensure profiles are set up correctly in the system used by our Travel provider
  • Set up contractor flight schedules on spreadsheets and assist in accounts related tasks.

The ideal candidate will be/have:

  • Highly organised and conscientious
  • Friendly, approachable and a great communicator (both written and verbal)
  • Eager to provide a fantastic service to our international clients and contractors
  • Experience in an administrative role - Proficiency in all MS Office programmes
  • (Desirable) Good geographical knowledge and/or previous work within the travel sector, although full training will be provided for the successful candidate.

Language Requirements

Good knowledge of the English language is required.

Certificates and Qualifications

Mandatory STCW certificates are required from all applicants.
