The role is accountable for managing vessel crew payroll activities and overseeing manning agent disbursement accounts. The position operates within a multinational setting where English is the primary working language.

Responsibilities

  • Monthly review of D/A statements received from manning agents, validating payments against actual days served on board and additional costs such as flights, medical expenses, and transportation
  • Examination, budgeting, and authorisation of crew related invoices in line with the company’s invoice approval procedures
  • Full ownership of the monthly crew payroll process, ensuring accurate and timely execution
  • Application and enforcement of company payroll policies to guarantee all crew payments are processed correctly and without delay
  • Detailed monthly verification of portage bills and reconciliation of entries within the accounting system
  • Oversight of vessels’ onboard monthly cash management, including review and approval of submitted records
  • Tracking and control of crew loans and payments made during leave periods
  • Preparation and processing of monthly crew allotments for approval, ensuring compliance with company guidelines
  • Acting as the primary point of contact for vessels regarding salary and payment related queries
  • Close coordination with crew coordinators to monitor sign off schedules and ensure records are updated prior to payment approvals
  • Maintenance of up to date crew personal records, reflecting all transactions, requests, and communications
  • Review, documentation, and approval of crew travel and expense claims

Requirements

  • A recognised bookkeeping qualification with a minimum of three years’ relevant professional experience is required.
  • Candidates must have proven hands on experience managing payroll specifically for seafarers, as payroll experience from other industries alone will not be sufficient.
  • Alternatively, crew operators who have directly handled the full seafarer payroll cycle will also be considered.
  • Strong proficiency in Microsoft Office is essential, particularly Excel and Outlook, along with fluency in English.
  • The ideal candidate is organised, detail focused, proactive, and works well within a team, demonstrating a positive and respectful approach.
  • Previous experience within the maritime industry and familiarity with ERP systems will be viewed as an advantage.
