What’s the role?

You will be accountable for the following:

  • Deputise in Crew Operations Managers absence.
  • Customer/Business Partner Management in Group assigned vessels
  • Liaise closely with the manning agencies in India, Croatia & Manila to ensure smooth transfer and follow up of information/planning to provide flawless execution
  • Encourage development of the teams–professional skills and personal effectiveness. Guide and provide realistic expectations around personal growt
  • Ensure the accuracy of Power BI and internal reports, Management Information reporting and to support Payroll
  • Monitor service providers (manning agenciews & travel agents) and ensure service delivery and minimise costs.
  • Develop, test and implement improvements for internal database projects
  • Assist with ad hoc projects, ship deliveries, transitions when required.
  • Assist in Emergency exercises.
  • Compliance with our Business Management System (BMS)/Proactively monitor and update BMS ensuring all teams work the same way
  • Focal point for associated with assigned vessels in cases of medical and other emergency repatriations and/or response situations where the welfare of our seafarers is paramount
  • Develop comprehensive roster plans for assigned vessels in line with core manning requirements. Minimise costs, through effective planning & daily monitoring in line with fleet requirements. Ensuring vessel experience Matrix compliance
  • Monitor legislation and regulations that will affect the business and ensure issues are mitigated before they become quality issues.
  • Act as a single focal point for all sea staff enquiries associated with assigned vessels and co-ordinate the delivery of all responses - this will require the incumbent to effectively collaborate with other Shell Shipping & Maritime (S&M) team members to respond on all matters such as training, study, promotion, etc.
  • Responsibility for any disciplinary issues; record management of disciplinary issues on board. Act as Shell S&M representative in shore side Investigation Hearings and Lead investigator in Shell S&M hearings. Ensure any development plans process is adhered to in line with the Company disciplinary procedure.
  • Be part of the out of hours Duty Team if required
  • Proactively communicate with Ship Management customers (primarily vessel superintendents and on-board Ship Management Team members) regarding vessel crewing plans and act as a 'single customer focal point' for enquiries; lead a weekly dial in
  • Delivery against existing targets and own all aspects of individual vessel and overall group of vessels Crewing & Manning performance reporting (i.e. Attrition, Recruitment, Promotions, Training, Planning/Relief on Time, Cost)

What we need from you

We are keen to hear from candidates with the following skills and experience:

  • Understanding of STCW and how Flag States incorporate these standards into regulation
  • Proven ability to coach, lead and develop natural teams.
  • Demonstrated ability to manage multiple inputs, effectively forecast and proactively identify solutions and contingencies in time critical situations
  • Strong record keeping experience
  • Rostering or scheduling experience is a distinct advantage
  • Experience with Microsoft Office products; Continuous Improvement, AGILE (ideally CP-1 Practitioner)
  • Excellent interpersonal and communication (verbal & written) skills with the ability to manage multiple stakeholder relationships
  • Analytical and problem solving skills
