Job Description as Facilities Manager with Stork:

To provide a professional and comprehensive facilities service to internal clients, ensuring all site facility requirements are addressed and logistically completed in a safe and efficient manner.

Task and Responsibilities as Facilities Manager:

Safety Leadership

  • Ensure all work carried out is in accordance with current HSEQ legislation, ensuring appropriate compliance with all legislation, codes and ISO standards.
  • Ensure all internal safety initiatives are visible and departmental procedures are adhered to.

Facilities Management

  • Ensure the Facilities strategy is delivered and aligned with the Company vision.
  • Develop opportunities in Facilities to add value to the Company, working closely with other departments, building strong communication channels.
  • Manage and develop the Facilities team to optimise resources and provide high quality, efficient and effective workplace solutions.
  • Effectively manage and support a number of service areas across all UK locations, including; cleaning, security, catering, grounds maintenance, telecoms, reception, mailroom, archiving and invoicing.
  • Ensure KPIs are consistently met, reported and add value to the business.

Leadership

  • Facilitate and encourage, with support of HR, professional development of employees in line with business strategy.
  • Recruit, interview and select staff to fulfil relevant roles.
  • Communicate with all staff on a regular basis.
  • Coach and mentor reports ensuring that there is a succession plan in place.
  • Communicate business objectives to key personnel within the Facilities unit.
  • Ensure compliance with relevant industry legislation and standards.
  • Actively manage operational Facilities responsibilities and tasks.

Commercial Management

  • Manage and control all facilities costs in line with yearly budget, understanding any cost variances and rectifying these.
  • Review and approve direct report timesheets and cost centre allocation.

Supplier Management

  • Create, develop and manage maintenance contracts, building strong working relationships, ensuring compliance.
  • Review existing service provisions to ensure maximum efficiency, identifying new and innovative ways of providing services.
  • Liaise with Supply Chain Management on Third Party Contractual issues including term of agreements, liabilities, consequential risk, special terms, risk assessments, permits to work etc.
  • Define supplier/ contractor Service Level Agreements and track/ monitor performance.
  • Ensure all business needs (materials and services) are correctly requisitioned and approved in line with Company procedures.
  • Ensure all registers are kept up to date, spend is controlled and relevant Contracts are kept up to date.
  • Write specification documentation for ITT’s for required subcontract services.

Emergency Response

  • Provide an effective emergency and out of hours response service in support of the business.

Specific Requirements for Facilities Manager:

Education

  • Facilities management diploma essential
  • Membership of a representative body, such as BIFM
  • Strong Microsoft Office skills

Experience

  • Previous experience of working in managing a multi-discipline facilities team
  • Proven capabilities in developing support services to high quality standards
  • Demonstrable effective team leading experience
  • Excellent knowledge of current HSEQ legislation
  • Excellent interpersonal and communication skills
  • High level of organisational skills
  • Strong attention to detail
  • Ability to multi task
