Job description

Job Description as Proposals Coordinator with Stork:

To coordinate and produce high quality proposals, prequalification’s and any other documents relevant to tendering in line with Stork procedures and Company business objectives.

Tasks and Responsibilities as Proposals Coordinator:

Analysis of Tender Requirements

  • Conduct analysis of ITT documents when received and update the relevant systems.
  • Analyse tender requirements to select a tender team and arrange and chair all relevant meetings.
  • Conduct assessment of client requirements to present to tender team.
  • Complete tender cost estimate to aid in the bid decision.

Tender Response

  • Coordinate tender responses setting clear deadlines for the tender team.
  • Prepare and administer all aspects of tender preparation including the creation of tender sites and plans.
  • Analyse the risks associated with the tender, including coordinating the review of contract terms and conditions.
  • Conduct and chair tender progress and review meetings, leading where required.
  • Coordinate commercial, legal, compliance, HSE and technical input.
  • Responsible for the compilation of the proposal ensuring compliance with client requirements.
  • Hold a final review meeting to present completed tender to wider business. �
  • Responsible for overall look, administration and submission of proposal.
  • Responsible for all administration activities relevant to tendering including ensuring that all stationery supplies are available.
  • Liaise with suppliers and third parties to ensure that accurate and compliant tenders are developed.

Compliance with Business Objectives and Strategies

  • Coordinate the completion of bid approval, opportunity review cards and proposal review cards.
  • Coordinate legal review of tender terms and conditions.
  • Coordinate commercial response and identify areas of possible risk to the business
  • Coordinate risk review session to ensure compliance with company objectives, strategies and procedures.
  • Ensure all responses comply with Stork procedures.
  • Ensure that FPAL is up to date, liaising with contract delivery and product line.
  • Responsible for ensuring personal compliance with HSE initiatives.

Client Communications

  • Responsible for ensuring all pre and post-submission client enquiries are dealt with by the relevant departments.
  • Focal point with client during tender process through to contract handover with operations/legal.
  • Ensure all clarifications and communications with the client are logged and tracked, updating the relevant systems as necessary.
  • Coordinating tender de-brief sessions and ensuring that key people attend.
  • Keep a record of all notes from de-brief sessions in the relevant folders.
  • Cascade all client feedback to the relevant departments.

Specific Requirements for Proposals Coordinator:

Education

  • HNC/HND in relevant field or relevant experience.

Experience

  • Excellent analytical skills.
  • Ability to produce and analyse tenders.
  • Report writing skills and a high level of English writing skills are required.
  • Excellent computer skills including proficiency with a range of software programmes including Adobe, Microsoft Word, Outlook and Excel.
  • Additional software experience would be advantageous.
  • Knowledge of the offshore oil and gas industry.
  • Experience of working within an office environment. Experience gained within a tendering/sales/operating environment would be highly advantageous.
  • Commercial acumen would be of distinct advantage.
