Job Description For Personal Assistant
Carrying out secretarial, organizational and administrative work for the benefit of the managers, be made in such a way that these state/the custom function to perform with an efficient and functional use of time and resources .

Expertise and technology apply 

  • Has detailed (technical) knowledge and experience of field and applies it in practice.
  • Also shares this knowledge and expertise with others.        
  • Shows interest in new developments in this field and makes themselves own, if they are relevant to the implementation of the work.

Correspondence 

  • Drafting (standard-) letters and texts.
  • Check and correct outgoing texts and documents on spelling and layout.
  • Incoming and outgoing mail Handling (confidential), or submit them for handling to the right person.
  • Dealing with inbound phone calls, handling routine issues and retrieve information, as well as call forwarding of telephone calls to the right person.

Agenda Management 

  • Manage agenda of the managers.
  • Make appointments on request and setting priorities.
  • Schedule and monitor agreements and procedures of assigned tasks and signalling and learning at variance.

Meetings 

  • Organize discussions and (decided) events.
  • Documents preparation for Distribution to participants.
  • Taking minutes and preparing the meeting report, send to management and/or colleague and after approval distribute to stakeholders.
  • Follow-up and coordinate appointments.

Other Activities 

  • Maintaining various (automated) administrations.
  • Manage the stock office supplies for Department(s).
  • Arrange dinners, business lunches, travel and hotel reservations.
  • Where appropriate, correct translation of letters, notes and/or documents.
  • Serve as point of contact for the Department/discipline or BU.

Safety

  • With regard to safety and the environment Follows the instructions, guidelines and policies (that is stated both orally and in writing) of Stork and customer/location if necessary.
  • Perform the work in accordance with the policy, the rules, regulations and operating procedures of the organization.
  • Has continuous eye for safety and environmental related issues for themselves but also for the environment. Speaks others where necessary if situations are not safe to work.

  • Support of others where necessary in the work.                                 
  • Timely information which others Points for them may be needed or needed in the work.
  • Consulting others where necessary in the work.

Knowledge and Skills

  • Good knowledge of MS Office applications and practical PC knowledge.
  • Previous experience within a Personal Assistant Role (Essential)
  • Various administrations, such as managing files.
  • Agenda management, prioritisation.
